Rehearsals & Calendar

The Calendar gives your production a shared schedule for rehearsals. Admins can create and manage rehearsal blocks, cast members can see their own calls, and everyone can subscribe to a live iCal feed.

Note

The Calendar is a feature-gated option. Contact your company admin if it isn't visible for your production.

Opening the Calendar

Click the Calendar button (calendar icon) in the script view toolbar. The dialog has up to four tabs depending on your role:

Rehearsals tab

List view

A spreadsheet-style grid showing all rehearsals with:

  • Title, date, and time range
  • Venue and room (if the venue has rooms configured)
  • Conflict badge — a color-coded count showing how many people have a conflict on that date
  • Edit and Cancel buttons for admins

Use the month navigation arrows and Reset button to adjust the visible date range. Reset snaps the range back to the span automatically computed from your rehearsal data.

Creating a rehearsal

  1. Click Create in the Rehearsals tab
  2. Fill in the Title (optional), Date, and time
  3. Set a Default venue (optional)
  4. Add Blocks — time/location groupings within the rehearsal with their own call lists
  5. Add Notes (optional)
  6. Click Save

Rehearsals support recurrence rules (e.g., weekly, custom dates). Recurring series show all instances in the list; individual instances can be cancelled without removing the whole series.

Blocks

A rehearsal can contain multiple blocks — separate time slots that may involve different groups, rooms, or locations. Each block has:

  • Start and end time
  • Venue and room override (overrides the rehearsal's default venue for this block)
  • Cast call list — which people are called for this block

For recurring rehearsals, blocks can vary per instance using block overrides by date, letting you adjust content for individual occurrences without breaking the series.

Cancelling a rehearsal

Click Cancel on a rehearsal row. For recurring series, you can cancel a single instance or the entire series.


Venues tab

A view-only list of the company's venues relevant to this production. Shows each venue's capacity, contact info, rooms, and any blackout periods. Editing venues is done from Company Management.


Conflicts tab

A spreadsheet grid showing cast conflicts across all rehearsal dates:

  • Rows — one per production member
  • Columns — one per day in the visible range (name column is frozen; dates scroll horizontally)
  • Cells — colored and labeled when a person has a logged conflict on that date

Click any conflict cell to edit or delete that conflict entry. Exportable to PDF. Use the month navigation and Reset button to adjust the date range.


Subscribe tab

Get a live iCal URL to subscribe to your production's schedule from any calendar app (Apple Calendar, Google Calendar, Outlook, etc.):

  • Cast — the feed shows only your own calls
  • Production Team / Admin — the feed shows the full production schedule

Copy the URL or scan the QR code to add the feed on a phone. The feed updates automatically as rehearsals change — no need to re-subscribe.
